Agency client domain management

A workflow for agencies and freelancers to track client domains, prevent lapses, and keep personal inventory separate with labels.

Last reviewed: 11 August 2026

Agencies lose domains the same way they lose staging credentials: unclear ownership and no shared inventory.

Non-negotiables

  • Every client production domain is in the shared board
  • Labels identify the client
  • Expiry reminders are on
  • Who renews (client card vs agency card) is written in notes

Suggested label system

  • Client — Acme
  • Client — Globex
  • Internal
  • Parked / transfer pending

See organize domains with labels.

Multi-account reality

Clients often keep their own GoDaddy or Cloudflare logins. Connect those accounts with explicit labels rather than transferring everything into an agency registrar on day one.

Handoff checklist

When a project ends:

  1. Confirm who pays renewals going forward
  2. Transfer or disconnect API access intentionally
  3. Keep notes of the final state
  4. Remove stale credentials

FAQ

How should agencies organize client domains?

Use a dedicated label per client (or client + project), track the registrar connection that owns the name, and enable reminders on every production domain.
